How to Enhance Your Microsoft PowerPoint Presentations with Speaker Notes

When delivering a slideshow, you often have more to convey than what appears on the slides. It’s common to want to elaborate on the included text or provide further explanations for visual elements. Fortunately, Microsoft PowerPoint offers a convenient feature for adding speaker notes. These notes can be inserted on each slide and conveniently viewed in Presenter View during your presentation. Here’s how you can utilize this useful feature:

Adding Speaker Notes to a Slide in PowerPoint

To begin, launch your PowerPoint presentation and select the slide where you want to include speaker notes.

Step 1: Go to the View tab and choose either the Normal or Outline View. This view allows you to see your slide alongside the note you intend to add.

If you’re wondering if there’s a way to add a note in PowerPoint without changing the view, unfortunately, that is not possible. However, if you prefer an alternative to the Normal or Outline View, you can try the Notes Page view available in the same section of the ribbon. Although it is still technically a “view,” it displays your slide and a text box for your note as a printed page.

Step 2: If the Notes panel is not visible, you can display it by following one of these methods:

  • Click the “Notes” button in the Status Bar at the bottom.
  • Move your cursor to the bottom of the window. When you see the two-sided arrow, drag it upward until the panel is visible.

Step 3: When the panel is empty, you’ll notice the text “Click to Add Notes” within it. Simply click inside the box and start typing your note.

Step 4: You can utilize the tools on the Home tab or the floating toolbar to apply basic formatting to your note. This feature comes in handy when you want to include bullet points or emphasize the font with bold, italics, or underlining.

Step 5: If your note is long, a scrollbar will appear on the right side of the panel, allowing you to scroll down and view the entire note. You can also resize the panel by dragging it upwards.

Hiding Notes While Editing a Slideshow

During the assembly or editing process of your slideshow, you may prefer to view your slides in full without the distraction of the presenter notes. To hide the notes temporarily without deleting them, follow these steps:

  • Click the “Notes” button in the Status Bar at the bottom.
  • Drag the notes panel downward until it is no longer visible.

Viewing Speaker Notes During a Slideshow

When it’s time to present your slideshow, you can take advantage of Presenter View to view your speaker notes. This feature allows you to see the notes for each slide on your monitor while presenting the slideshow on another screen. The audience will not have access to your notes.

Step 1: Go to the Slide Show tab. On Windows, check the box for “Use Presenter View” in the Monitors section of the ribbon. On Mac, click the Presenter View button in the Start Slide Show section.

If you have already started the slideshow, you can still activate Presenter View by clicking the three dots in the Presenter Toolbar and selecting “Show Presenter View” on Windows or “Use Presenter View” on Mac.

Step 2: Once Presenter View is enabled, your notes will appear on the right side of the screen, while the left side displays your slides. As you advance to each new slide, the corresponding notes will automatically be displayed.

Step 3: The text in your note will wrap automatically to the next line, and a scrollbar is available for scrolling through lengthy notes. Additionally, you can adjust the font size for the notes using the buttons below the notes panel.
